Hire Terms & Conditions

Please read carefully our hire terms & conditions before hiring our products.

The following terms and conditions govern all contracts between KL China And Glass and the hirer. By remitting payment for the associated invoice, it is understood that all terms and conditions have been acknowledged and will be upheld:

  1. Ownership of all equipment remains vested in KL China And Glass, located at 118 High Rd, Newton, Wisbech PE13 5ET.
  2. The onus lies with the Customer to collect the Hire Goods from our premises and return them at the conclusion of the Hire Period. Should the need arise for delivery or collection by the Company, such services will be provided at an agreed delivery cost based on location. All delivery and collection arrangements, including those on weekends, must be agreed upon prior to the goods leaving our premises. Notably, customers collecting goods must present a valid driver’s license and insurance documentation covering the transportation of the hired goods.
  3. Upon delivery by the Company, it is imperative that the Customer or their designated representative be present to receive and sign for the Hire Goods, ensuring all items are accounted for.
  4. The hirer assumes full responsibility for any loss or damage to the hired goods during the rental period. While the company exercises discretion regarding minor breakages or losses, any damages exceeding this discretionary threshold will incur charges equivalent to the full replacement cost, payable upon invoice. In cases where a damage deposit has been collected, the replacement cost will be deducted from the deposit, with any remaining balance refunded. A comprehensive list of replacement charges is available upon request.
  5. The Customer is obligated to return all glass storage crates and other storage containers provided by the Company. Failure to do so will result in a charge equivalent to the full replacement value being levied against the Customer.
  6. KL China And Glass bears no liability for any loss or injury arising from the use of hired equipment.
  7. Hire charges are based on a minimum rental period of 1–3 days, inclusive of one day prior to the event and the day following, unless the event spans a weekend. In such cases, equipment must be returned or collected on the immediately following Monday. Terms for extended hire periods are subject to negotiation prior to collection or delivery.
  8. The hire price includes a wash-up charge for tableware. However, to prevent staining from acidic foods, it is essential that crockery be scraped clean and, whenever feasible, cutlery be soaked or rinsed prior to return.

Please be advised that as of 2024, an additional cleaning fee equivalent to 10% of the total hire charge will be implemented. This fee pertains to the cleaning of all packing boxes and bags due to extended cleaning times beyond initial projections.

Packing Instructions

Before collection, all items must be securely packed in the provided storage boxes. Dirty glasses should be positioned upright to prevent spills, while plates should be stacked correctly within their designated boxes to avoid the need for unpacking and repacking prior to transportation, which could potentially incur additional costs for the hirer. Excessive packing within boxes will result in charges, as repacking is necessary to ensure safe weight limits for our staff to carry and proper stacking for transportation.

Please refrain from packing broken glasses in the provided boxes; instead, dispose of them safely on-site and notify us of any breakages upon collection.

Kindly ensure that your caterer, event planner, or venue manager is familiar with these packing instructions, as the hirer will be invoiced and held liable for any outstanding amounts resulting from a required repack.

Cancellation Policy

All cancellations must be formally communicated in writing at least 14 days prior to the scheduled delivery date. In the event of a cancellation, the following rebate of hire charges will apply:

  • 14 days or more prior to delivery: No charge
  • Up to 10 days before delivery: 30% of hire cost
  • Up to 5 days before delivery: 50% of hire cost
  • Up to 48 hours before delivery: Full hire cost

Deposit and Payment Terms:

A minimum deposit of £100 or the full amount of the hire charges (whichever is greater) is required upon receipt of the order. The balance of the order must be settled 14 days before the scheduled hire date. Payment of the deposit secures the reserved stock for the hire date, with the option to adjust numbers up to 14 days before delivery, subject to a maximum reduction of 10%. Additional stock items can only be added if available; please consider this when making your booking.

Damage Deposit:

A £100 damage deposit will be collected upon issuance of the final invoice, 14 days prior to the delivery date. This deposit will be held against any potential loss or damage and will only be refunded upon satisfactory return and inspection of all goods.

  1. Any private customer arranging their own transportation must carry comprehensive insurance covering loss or damage. Evidence of insurance must be furnished upon request.
  2. Payment terms for account customers require settlement within 14 days net. Invoices outstanding beyond this timeframe will be referred to a collection agency and will incur a surcharge to cover collection costs. The customer is liable for this surcharge, as well as any additional charges and legal fees incurred, which are legally enforceable. Non-account customers must remit payment at least 14 days prior to the scheduled delivery date.
  3. While KL China And Glass strive to accurately represent our products on this website, variations in display calibration across different devices may occur, thereby preventing us from guaranteeing absolute accuracy.
  4. All prices quoted are exclusive of VAT at the current time. Any alterations to this arrangement will be communicated in writing at least 14 days prior to the payment due date.
  5. Delivery charges are subject to variation based on location. While we endeavor to maintain minimal costs, we recommend contacting us via email to ascertain the delivery cost to your venue. As fuel prices escalate, a delivery charge will be applied to all orders. Despite our efforts to keep these charges to a minimum, as a small business, we cannot absorb the escalating fuel costs, over which we have no control.
  6. The hirer or their appointed representative must be present during both the delivery and collection of goods. In the absence of the hirer, a designated representative must be appointed and their name and contact number provided before the delivery day. Goods cannot be left without an appointed representative present. During collection, our staff will attempt to identify any visibly missing items; however, a comprehensive count cannot be conducted until we return to our headquarters. Any missing or damaged items will be reported within 3 days of collection.
